Lots / Serial Numbers
Check the traceability of your products directly from your Android device. Search for lots and serial numbers, verify expiration dates with a visual traffic light, discover where stock is located and print labels — all without opening your computer.
Overview
The Lots and Serial Numbers module in SiltaFlow lets you check all lots recorded in Odoo in real-time. You can search for a lot by name, by product or by code, immediately see if it is valid, expiring or already expired, and discover in which warehouse locations the stock is present.
A lot groups multiple units of the same product with a common number — typical for food, medicines and raw materials. A serial number instead identifies a single physical piece — typical for machinery and electronics. SiltaFlow handles both with the same interface, with no operational differences for the user.
To view updated details and stock by location you need an active connection to the Odoo server. The lots list is also loaded from local cache when there is no connection.
Lots List
When you open the Lots module, you see a scrollable list of all available lots. Each entry shows the lot name, the product it belongs to, the expiration status (with a colored badge), total stock and main warehouse location.
Search
Type in the search bar to find a lot: you can use the lot name, product name or product internal code. All three fields are searched at the same time, so it doesn't matter which information you have at hand.
If you have a device with a hardware scanner (e.g., Zebra), point it at the lot label: the code is captured automatically as a search, without touching the keyboard. A vibration feedback confirms successful scanning.
Status Filters
Use the four quick filters to focus only on the lots you are interested in:
| Filter | What it shows |
|---|---|
| All | All lots, without status filter |
| Expired | Only lots whose expiration date has already passed — to be handled with urgency |
| Expiring | Lots nearing expiration, within the threshold configured in Odoo — to be picked with priority |
| With Stock | Only lots with stock physically present in the warehouse |
Activate "Expiring" and "With Stock" together to get the daily picking list according to the FEFO principle (first expires, first out): only lots nearing expiration that still have stock in the warehouse, sorted from most urgent to least urgent.
Lot Details
Tap a lot in the list to open its complete card. The details are organized in clear sections: general information, expiration status, stock by location and notes.
General Information
In this section you find the lot name, any internal reference, the associated product, total quantity and creation date.
Expiration Dates
The expiration card changes color based on the lot status, so you can recognize the situation at a glance:
| Color | Status | What to do |
|---|---|---|
| Green | Lot valid | No urgent action — normal picking |
| Yellow / Amber | Expiring | Pick with priority over other lots of the same product |
| Red | Expired | Do not ship to customers — manage with disposal procedure according to company policies |
| Gray | No dates | No expiration date configured for this product |
When present, up to four dates are shown: the alert date (indicates when to start giving priority to the lot), the recommended use date, the actual expiration date and the planned removal date.
Expiration dates are visible read-only. To modify them you need to access the Odoo backend. This choice protects data integrity and quality approval processes.
Stock by Location
This section shows a table with all locations where the lot is present, indicating for each the total quantity and the quantity already reserved for other orders. You know exactly where to go to get the units you need.
Notes
The lot's internal notes are shown in this section as text. They may contain information about origin, certifications or handling instructions. Notes are read-only from the app.
Picking Priority — First Expires, First Out
In many sectors — food, pharmaceutical, cosmetics — it is essential to pick first the products closest to expiration, to avoid shipping expired goods or ending up with unusable stock. This principle is called FEFO (First Expired, First Out).
SiltaFlow simplifies this operation: by activating the "Expiring" and "With Stock" filters together you get a list already sorted by urgency. The lots at the top are the ones that must be picked first.
At the beginning of each shift, open the Lots module and activate the "Expiring" + "With Stock" filters. In a few seconds you have today's picking priority, without paper sheets or manual reports.
The threshold that determines when a lot is considered "expiring" (and therefore appears in the yellow filter) is configured in Odoo settings — not in SiltaFlow. If no lots appear in the "Expiring" filter, check the configuration of the expiration module in Odoo.
Create a New Lot
You can create new lots directly from the app without opening Odoo. Just follow three steps:
- Select the product — Tap the "+" button to open the creation module, then search for the product by name or code in the search field with auto-completion.
- Enter the lot name — Type the lot number or use the hardware scanner to capture the code directly from the supplier's label. The system verifies that a lot with the same name does not already exist for the same product.
- Confirm — The lot is created in Odoo and SiltaFlow automatically takes you to its details, without returning to the list. If the lot already exists or the product is not valid, an error message appears directly in the module.
During goods receipt, use the scanner in the "Lot Name" field to capture the code printed on the supplier's label. This avoids transcription errors and greatly speeds up registration.
Print Labels
From a lot's details you can print physical labels to apply to parcels or locations. Two modes are available:
PDF from Odoo
Generate a PDF via the Odoo report system. The PDF is opened in the device's viewer, from which you can print directly via Wi-Fi. The report template (company logo, exposed fields, layout) is customizable in Odoo. Ideal for A4 or A5 format labels with complete data: lot name, product, dates, barcode.
Label Panel — Direct thermal printing
Label Panel is a dedicated panel for printing to thermal printers (Zebra, Honeywell, Brother) connected via Bluetooth or Wi-Fi. You can choose the label model from those configured, see a preview before printing and set how many copies to print. The lot barcode is automatically included in the label.
Right after creating a lot, use Label Panel to print the label to apply to the parcels. This way physical traceability is guaranteed from the moment the goods enter the warehouse.
Lot or Serial Number?
SiltaFlow uses the same interface for both. The difference is established in Odoo on the individual product:
| Type | When to use | Typical examples |
|---|---|---|
| Lot | Multiple interchangeable units with same origin or production date | Food, medicines, raw materials, paints |
| Serial Number | A single physical piece to be identified individually (always 1 unit) | Machinery, electronics, equipment, warranty spare parts |
Practical Examples
Example 1 — Picking Respecting Expiration Dates
A customer has ordered 60 liters of extra virgin olive oil. The warehouse operator must respect FEFO.
- Opens the Lots module and searches for "Extra Virgin Oil". Activates the "Expiring" + "With Stock" filters.
- The list shows the lot with the nearest alert date at the top. The warehouse operator knows they must pick from that lot first.
- Opens the details of the first lot: 48 liters available on three locations. Picks from those indicated.
- For the remaining 12 liters moves to the next lot in the list. The order is completed respecting FEFO, without paper sheets.
Example 2 — Quick Serial Number Search with Scanner
A technician has a repaired compressor in hand and needs to verify where to reinsert it in the warehouse.
- Opens the Lots module. Hardware scanner is already active on the list, no manual action required.
- Scans the barcode on the compressor label.
- SiltaFlow automatically sets the search and shows the corresponding serial number. The technician taps the entry to open details.
- Verifies current location, maintenance notes and creation date, then reinerts the piece in the indicated location.
Example 3 — Receipt with Lot Creation on the Fly
A delivery arrives with supplier lots not yet present in Odoo.
- The warehouse operator opens the Lots module and taps the "+" button to create a new lot.
- Searches for the product in the appropriate field and selects from the auto-completion list.
- Scans the barcode on the bag label: the lot name is automatically captured in the field.
- Confirms: the lot is created in Odoo and SiltaFlow navigates directly to its details to add notes or print the label.
Tips
Use a uniform convention for lot names (for example LOT-AAAA-MMDD-NNN). Structured names allow you to search by prefix and facilitate chronological sorting.
Before starting a picking, use the Lots module to verify stock by location of the assigned lot. Knowing exactly where the units are located reduces empty trips in the warehouse.
In case of product recall or traceability audit, search for the lot number in question: in a few seconds you have product, locations, quantities present and reserved, complete dates and operational notes — sufficient to block stock without opening Odoo.
Requirements
To use the Lots module in SiltaFlow you need:
- An Odoo server with lot/serial traceability activated on the products of interest
- Active internet connection to view details and updated stock by location
- Android device with version 10 or later
- For thermal printing: a Zebra, Honeywell or Brother thermal printer configured in the app
