Returns
Manage customer and supplier returns directly from your smartphone. Create returns starting from the original order, check quantities line by line, choose where to store incoming goods and receive automatic alerts in case of discrepancies.
Overview
The Returns module of SiltaFlow allows you to manage the entire life cycle of a return from mobile, both when a customer returns goods and when you have to send something back to a supplier. The starting point is a single screen — the returns hub — that shows in real time how many returns are pending for each type.
From here you can open the filtered lists, see the detail of each return, set the quantities line by line and validate the movement directly on Odoo. If the actual quantities do not match the expected ones, the app automatically reports the anomaly and allows you to generate a report with a single tap.
Before using the Returns module it is necessary to configure the type of operation (picking type) for customer and supplier returns in the app Settings. If not already configured, the hub will display a "Configure Now" button in place of the meters.
The Resi Hub
When you open the Returns section of SiltaFlow, the first thing you see are two large cards side by side: one for <strong>Customer Returns</strong> and one for <strong>Supplier Returns</strong>. Each card displays a badge with the number of returns that require your attention right now, retrieved in real time from Odoo.
If you want to refresh the counters, use the pull-to-refresh gesture on the screen. In case of connection problems, a dash (—) will appear instead of the number, but you will still be able to access the lists normally.
<strong>Customer Returns</strong> concern goods that return to the warehouse (for example a customer who sends back a defective product). <strong>Supplier Returns</strong> concern the goods that go out, because you are sending them back to the supplier (for example an item delivered in error or non-compliant).
The Returns Lists
By touching one of the two cards in the hub you access the corresponding list. At the top you'll find four quick status filters and a text search bar.
Status filters
- All — Shows all active returns, excluding only those already completed or cancelled. It is the default view for getting an overview of the current job.
- Ready — Only returns you can process now: the goods are reserved and the operations are ready for validation. Corresponds to the number shown in the hub.
- Pending — Returns confirmed but waiting for something (stock availability, authorization, return of goods). Useful for monitoring what is coming soon.
- Completed — Returns already validated and registered on Odoo. See this filter to check your history or search for a previous return.
Research
The search bar instantly filters the list without new calls to the server. You can search for:
- Return number (e.g. RETURN/2024/00147)
- Originating order number (e.g. SO/2024/03892 or PO/2024/00891)
- Name of the customer or supplier (even partial)
Each row in the list shows the return number, partner, status with a colored badge, expected date, a progress bar and an urgency indicator.
The Return Detail
Tapping a return in the list opens the detail screen. At the top you see the main information: return number, current status, partner name, expected date and reference to the originating order. For supplier returns, courier information (carrier and tracking number) is also shown, if available.
Under the heading you will find the list of product lines to manage. For each row you can:
- Set the quantity — Use the + and − buttons or directly touch the number to type the value. Each row also shows the maximum returnable quantity.
- Choose location (customer returns only) — For each line you can indicate where to store the incoming goods, for example in a quarantine or quality control area. Select the location from the drop-down menu.
- Add a note (if enabled) — If the notes function is active in the settings, each line has a text field where you can write down the reason for the return or other information for the warehouse.
- Use the scanner — Tap the scanner icon in the header to activate the camera or hardware scanner. By scanning the barcode of a product, SiltaFlow automatically identifies the corresponding line. If the option is enabled, it also increments the amount by 1 with each scan.
At the bottom of the screen you will find the validation button. Its appearance changes depending on the return type: it has a gold checkmark icon for customer returns, and a blue truck icon for supplier returns. Before confirming, the app shows a summary to avoid accidental validations.
If you have to manage a return with many products, use the scanner: it is much faster than the manual stepper. With the "auto-confirm" option turned on, just scan each piece one by one and the quantity updates automatically.
Create a Return from an Order
If the return does not yet exist on Odoo, you can create it directly from the app starting from the original order (delivery or receipt). The process is guided and requires a few steps.
Steps to create a return
- Select source document — Search for the delivery (for a customer return) or receipt (for a supplier return) from which you want to generate the return. You can search by order number, customer/supplier name or date. Only documents that have already been completed are visible.
- Choose lines to return — The app displays all lines of the original order with the maximum returnable quantity for each. If a product had already been returned previously, the quantity already returned is shown in red as a warning.
- Set Quantities — Use stepper for each row. The "Select All Max" button populates all rows with the maximum quantity allowed in one tap. The "Reset All" button resets everything to zero to start over.
- Create return — Tap "Create Return". The app sends the request to Odoo and, once the return has been created, takes you directly to its detail screen to proceed with validation.
The maximum returnable quantity for each line is calculated automatically: it is the original quantity of the order minus any returns already registered previously. You cannot exceed this value to avoid creating accounting discrepancies on Odoo.
Anomaly Detection
After validation — but also before, at any time — you can check if there are discrepancies between the quantities you have actually managed and those expected from the originating order. SiltaFlow compares these values automatically and classifies the differences into three categories.
Types of anomaly
- Not returned (red) — A product was included in the order but not even partially returned. It is the most serious anomaly.
- Partial Return (yellow) — The returned quantity is less than the order quantity. For example, the order included 5 pieces but only 3 were returned.
- Over-Returned (pink) — The quantity returned is greater than expected. It may indicate an input error or unexpected additional goods.
Anomalies are shown in a summary with colors and counters by type. If you spot an entry error before validation, you can go back to the detail, correct the quantities and review the anomalies without losing the work done.
Generate an anomaly report
In the anomalies screen you will find a floating button at the bottom (FAB). By tapping it, the app generates a structured report with the return reference, date and time, the name of the operator and the detail of each discrepancy. You can share the report via email, WhatsApp or any other app installed on your device, or save it locally.
Check the anomalies before validating the return: it is the right time to correct any quantity errors without having to create corrective movements on Odoo at a later time.
Practical Examples
Customer return for defective goods
A customer reports that 3 pieces received are defective and sends them back. From the Customer Returns module, search for the return already created by the sales team, or create it yourself starting from the original delivery. Select the 3 defective pieces, indicate the "Quality Control" area as the destination location, add a "Surface Scratches" note and tap the validate button. Odoo records the stock return to the correct area.
Supplier return for incorrect goods
A receipt brought in 10 units of the wrong component. You create a supplier return starting from the source receipt: select the component row, set the quantity to 10 (the maximum), create the return. Enter the courier's tracking number in the appropriate field and validate with the truck button. The stock on Odoo is decremented correctly.
Partial return with anomaly
The customer had ordered 5 pieces and returns only 3. The return was created for all 5, but by physically counting you only find 3. Set the quantity to 3 and they are valid. The app automatically detects the partial return of 2 units, shows the summary in yellow and offers you the button to generate the report. You email it to the sales manager for follow-up.
Returns Module Settings
All settings for the Returns module can be found in <strong>Settings › Returns</strong> in the app. You need to configure them at least once before using the module.
Types of operations (picking type)
You must indicate the transaction type numeric ID Odoo to use for customer returns and supplier returns. You can find these IDs in the backend Odoo in Inventory → Configuration → Operation Types, by enabling developer mode (add ?debug=1 to the URL). Typical values are 5 for customer returns and 6 for supplier returns, but may vary depending on the configuration of your installation.
Locations
Configure the return locations for customer returns (where the goods physically enter the warehouse) and the destination locations for supplier returns (where the goods exit to the supplier). These locations are used as default, but for customer returns you can always change them line by line directly in the detail.
Line notes
If you want to be able to note the reason for the return on each individual line, enable the "Row notes" option and indicate the name of the field Odoo on which to write the value (for example x_return_reason). The field must already exist in the stock.move.line template of your installation: create it via Odoo Studio before configuring this option.
Tips
When a customer returns everything they ordered, use "Select All Max" on the build screen: Fill in all lines in one tap instead of using the stepper on each line.
Use the "Ready" filter at the start of the shift to immediately see what you can process without waiting. "Pending" returns are not yet workable and you check them separately.
If the products have GS1-128 barcodes (common in the pharmaceutical, food and industrial sectors), the scanner automatically decodes them by extracting both the product code and the batch number. This eliminates manual batch entry and reduces errors.
Use putaway locations to directly send returned goods to the correct area: quarantine, quality control, reconditioning. This way you will not have to move the goods manually after validation.
Limits to Know
- Configuration required — The module does not work without configured picking types. If you don't find them in the backend Odoo, contact your system administrator.
- Only from completed orders — You can only create a return from deliveries or receipts already validated on Odoo. It is not possible to create a return from an order that is still open or in progress.
- Line Location: Customer Returns Only — The single line destination location choice is only available for customer returns. For supplier returns, the default location configured in the settings is always used.
- Notes Field: Must exist on Odoo — If you want to use line notes, the custom field must already exist in the template Odoo. The app doesn't create it itself.
- One warehouse at a time — The lists show the returns of the active warehouse in the settings. To work on a different warehouse you must change it from the settings and reload the list.
