Internal Transfers
Move goods between your warehouse locations directly from the app. Use the barcode scanner to work quickly and precisely, or instantly create an unplanned movement with the 4-step Quick Transfer wizard.
Overview
Internal Transfers cover all goods movements that take place within the warehouse: from one shelf to another, from the receiving area to the final location, from a storage area to the order preparation area. No suppliers, no customers — just internal travel.
SiltaFlow offers two ways to handle these movements. The first is the list of scheduled transfers, created in advance by Odoo: here you will find all the advanced scanning, batch management, traceability and backorder functions. The second is Quick Transfer, a 4-step guided wizard to immediately create and confirm a movement on the fly, without having to go through the computer.
Internal Transfers require an active connection to the server Odoo. There is no offline mode for this feature.
The Transfer List
When you open the Internal Transfers section, you see the list of all open transactions. The list automatically updates in the background every 90 seconds: if someone adds a new transfer from Odoo while you're working, an alert lets you know how many new items are available without interrupting what you're doing.
- Filter by Status — View draft, ready (confirmed availability), or in-process transfers separately.
- Search — Filter by transfer name (e.g. INT/00123), product or location of origin and destination.
- Urgency Badge — Transfers marked as urgent in Odoo are highlighted with a red indicator.
- Line progress — Each item in the list shows how many lines have already been completed out of the total (e.g. 3/7 lines).
- Navigation with scanner — Frame the barcode on the physical transfer document: the app opens the detail directly, without manual searches.
If you work in a team, automatic polling ensures that back-office assigned transfers appear in the operator list without anyone having to manually reload the screen.
Working on a Transfer
Open a transfer from the list to go into detail. Here you see all the lines of the movement with the products to be moved, the quantities requested and the locations. You can work line by line with quantity controls, or use the scanner to advance automatically.
Quantity control
- Use the + and — buttons to increase or decrease the amount processed line by line.
- The "Set All" button brings the processed quantity to the reserved value in one tap.
- The reset button returns the quantity to zero, useful for correcting an error.
- Tap the quantity field directly to open the numeric keyboard and enter a precise value.
Lots and serial numbers
For products tracked by lot, each row shows the associated lots with their quantity and expiration date. You can process different quantities for different lots on the same screen, mark each lot as physically picked, and if necessary, manually assign a different lot than the one suggested by Odoo.
Parcels
Products grouped into packages are shown with the package name. During the transfer you can associate or remove a product from an existing package. Reusable packages configured in Odoo are also respected in internal movements.
Report non-compliant goods
If during the transfer you discover damaged or unusable goods, you can declare them as waste directly from the line, without leaving the screen. Choose the reason from the available options (Damaged, Expired, Defective, Quality, Other) and indicate the quantity to be discarded — even partial.
The transfer detail updates every 10 seconds. In case of network problems, the interval increases progressively so as not to overload the connection.
Barcode scanning
The barcode scanner is the fastest and most accurate way to work on transfers. SiltaFlow recognizes different types of code, each with a specific behavior:
| Code type | What is read | What happens |
|---|---|---|
| GS1-128 / GS1 DataMatrix | Product, batch and expiry date | A single scan automatically fills in product, lot and quantity |
| EAN Weighted | Product code and weight | Each scan adds the weight to the row total automatically |
| HIBC (pharmaceutical) | Product, batch and expiry in pharma format | Dedicated parsing for healthcare products |
| Package code | Code of a multiple package | The quantity is automatically multiplied by the number of pieces per package |
| Simple code (EAN / QR) | Product code | Find the product and select the corresponding row in the transfer |
FEFO Notice — Rotation for Expiry
When you scan a batch that has a further expiration date than another available batch in the same location, the app displays a colored warning. This reminds you to withdraw the lot that expires first first, respecting the FEFO (First Expiry First Out) rule. The app does not block the operation: you decide how to proceed.
With GS1 labels on products, each line of the transfer is completed with a single scan: no manual typing of batches or quantities, no transcription errors.
Quick Transfer — Wizard in 4 Steps
Rapid Transfer is the ideal tool when you need to move goods immediately and the movement has not been planned in advance on Odoo. In 4 guided steps, you create and confirm an internal movement directly from the app — Odoo updates automatically.
Examples of use: correct the position of a pallet dumped in the wrong place, urgently move goods to the preparation area, transfer an item to quarantine.
The 4 steps of the wizard
- Search or scan the product — Enter the name or code, or use the scanner. The app shows the total available stock to help you choose the right product.
- Choose source location — Only locations that actually have product available are shown. If the product is in only one location, this step is automatically skipped.
- Choose target location — List of all internal warehouse locations, with text search to quickly find shelves, areas or zones. Customer or supplier type locations are not shown.
- Enter Quantity — Enter the number or press MAX to transfer all available quantity to the source location. Before confirming, see a complete summary: product, from where, to where, how much.
Quick Transfer handles one product at a time. To move multiple products in a single operation, you must use a scheduled transfer created by Odoo.
The MAX button in step 4 is particularly useful when you need to completely empty a shelf: set the entire quantity available in the original location in one touch.
Validation and Backorder
When you press Validate, the app checks whether all lines of the transfer have been completed. If so, the validation occurs immediately and the stocks are updated on Odoo: the quantities are deducted from the origin location and are added to the destination location.
If some lines are not completed, a dialog box appears with three choices:
- Valid with Backorder — Confirms the part already processed and automatically creates a new transfer in Odoo with the remaining lines. The new transfer inherits the original reference with a progressive suffix (e.g. INT/00123/001).
- Validate complete lines only — Confirm only 100% completed lines and cancel the others, without creating a backorder. Use when you know the missing lines will never be processed.
- Cancel — Return to the transfer detail to continue working.
Signature and photo documentation
Before validation you can acquire an electronic signature and attach a photo as documentation of the transfer. These functions behave exactly like in other warehouse modules.
When to use it
Here are some typical scenarios where SiltaFlow Internal Transfers make a difference:
- Replenishment of picking shelves — Move goods from bulk reserves to active picking shelves, using the GS1 scanner to fill everything in a few seconds without batch errors.
- Emergency repositioning — Was a pallet dumped in the wrong place? With Quick Transfer you move it to the correct location in 30 seconds, without opening the browser.
- Consolidate Lots Before Shipping — Collect older lots into a single picking zone. The FEFO warning warns you if you are processing in the wrong order.
- Quarantine non-conforming products — Move defective or awaiting verification items from the receiving area to the inspection area, maintaining complete batch traceability.
- Realignment after inventory — After a physical count that reveals incorrect positions, processes corrective transfers sequentially from the list. Automatic polling notifies you if new transactions are added in the meantime.
- Shipping Area Preparation — Before a rush of rush orders, move goods from the remote warehouse to the buffer near the dock. The scanner navigates directly to the right document by framing the code on the cart.
Practical Examples
Scheduled transfer with GS1 scanner
- Open the Internal Transfers list and scan the barcode on the physical document attached to the pallet. SiltaFlow directly opens the correct transfer detail.
- Start scanning the boxes. Each GS1-128 code automatically populates product, lot number and expiration date — no manual typing.
- At the third box the FEFO warning appears: in the same location there is another batch with a closer expiry date. Correct the picking order to respect the rotation.
- All lines 100% complete. Press Validate: the stocks are instantly updated on Odoo, subtracted from the storage area and added to the picking area.
Quick Transfer — empty a shelf
- Open Quick Transfer from the main warehouse screen. Scan the barcode of the first product on the shelf.
- The source selection step is automatically skipped: the product is in only one location, so the app goes directly to choosing the destination.
- Select the temporary storage area as the destination, press MAX to set all the available quantity, check the summary and confirm.
- Odoo updates in a few seconds. Repeat the wizard for the other products on the shelf.
Partial transfer with backorder
- A transfer has 5 lines. You manage to complete 3, but 2 products are not physically available at the indicated location.
- Press Validate. The dialog box appears: choose "Validate with Backorder". The 3 completed lines are confirmed on Odoo.
- Odoo automatically creates a new transfer with the remaining 2 lines. Within the next polling cycle (maximum 90 seconds) it appears in the list of SiltaFlow.
- The manager can assign the backorder to another operator from Odoo, or leave it to be collected at the next session.
Tips
If you use GS1-128 labels on internal products, each line of the transfer closes with a single scan. Includes the product code (AI 01), the batch (AI 10) and the expiry date (AI 17) on the label: you will eliminate typing errors.
Use Quick Transfer for spot corrections of 1-3 products. For movements with many lines or that require path optimization, create the transfer from Odoo and use it from the standard list.
A well-organized location structure in Odoo (for example: Area → Corridor → Shelf → Level) makes searching in the destination selection step of Quick Transfer much faster.
For more stringent FEFO control, enable the "First Expiry First Out" removal rule on Odoo as well. The app alert and the server-side rule complement each other.
Requirements and Limitations
- Odoo 14 or greater — The module requires Odoo 14+. The "mark as picked" function for a single lot is available from Odoo 16.
- Configured operation type — At least one operation type of Internal Transfer type must exist in Odoo. Quick Transfer uses the warehouse's default internal type.
- Connection Required — Internal Transfers do not work offline. Connection to Odoo is required throughout the process.
- Permissions Odoo — The logged in user must have read and write permissions on transfers and warehouse movements. Without these permissions the list will be empty or validation will fail.
- FEFO is just a warning — The app reports FEFO violation but does not block the operation. If you want a mandatory block, you must configure it directly on Odoo.
- Quick Transfer: one product at a time — The wizard manages only one product per session. For multiple products use a scheduled transfer.
- Weighted EAN: Configuration Required — Automatic accumulation for Weighted EAN works only if the product is configured with the weight unit of measure and the EAN prefix is correctly mapped in Odoo.
