Anomaly Manager
Report and manage product non-conformities directly from your Android device. Create reports with photos, generate a formal PDF to send to the supplier and keep track of everything in the Odoo Quality module — without leaving the app.
Overview
The Anomaly Manager is the SiltaFlow module dedicated to documenting non-conformities: damaged products, incorrect quantities, lot defects, expired products. It covers the entire cycle from field reporting to management in the company quality system.
To access the Anomaly Manager, tap the corresponding entry on SiltaFlow's main screen. The module works in two modes: standalone (local PDF reports, without need for additional modules on Odoo) or integrated with Odoo's Quality module (alerts tracked in the pipeline, live counters, edit directly from the app).
The module works even without Odoo connection: you can create reports, add photos and generate the PDF completely offline. Connection is required only to search for suppliers and products from the catalog and to synchronize alerts to the server.
Dashboards
The first screen of the Anomaly Manager is a dashboard with real-time counters and quick access to all module areas. The counters change depending on the active mode.
In standalone mode (without Odoo Quality module) the counters show how many local reports are in draft, how many are completed and how many have been uploaded to Odoo. In integrated mode, instead, the counters reflect live data coming directly from Odoo: how many alerts are open, how many completed and the total.
From the dashboard you can access four main areas:
- Report Editor — To create a new non-conformity report
- History — The archive of all saved reports, with status filters (visible only when integration with the Quality module is not active)
- Quality Alerts — The list of Odoo alerts with advanced filters (visible only with Quality module active on Odoo)
- Settings — Configuration of Odoo integration, default values and synchronization options
With Odoo Quality module active, counters are automatically updated each time you open the dashboard, always reflecting your system's real status without needing manual refresh.
Create a Report
The editor lets you build a structured non-conformity report. Each report consists of a header with supplier data and an unlimited number of rows, each related to a non-conforming product.
Report Header
At the top of the editor fill in the general notification data:
- Supplier — Type the first letters of the name: the app shows suppliers present in Odoo. Select the correct one. The name will appear in the generated PDF.
- Invoice or Delivery Note Reference — Enter the number of the reference document (invoice, delivery note, purchase order). It is reported prominently in the PDF.
- Date — Auto-filled with the current date. You can modify it if needed.
- Status — Indicates where the report is: Draft (being filled in), Completed (ready for PDF and synchronization) or Uploaded (already sent to Odoo).
Anomaly Rows
Tap <strong>Add Row</strong> to add a non-conforming product. For each row you can fill in:
- Product — Search by name or code in the Odoo catalog. If the product is not in the catalog, type the description freely.
- Non-conforming Quantity — The number of pieces, units or parcels affected by the non-conformity.
- Lot Number — The product lot, if tracked.
- Expiration Date — Useful for reporting expired or soon-to-expire products.
- Defect Description — Briefly describe the problem encountered (e.g., "broken packaging", "oxidized product", "illegible label").
- Photos — Add up to 3 photos per row, taken with the camera or selected from the device gallery.
You can add as many rows as needed, one for each non-conforming product. Rows can be modified and removed at any time while the report is in Draft or Completed status.
Adding Photos
Tap the camera icon on a row to add images. You can choose whether to take a new photo with the device camera or select one already saved in the gallery. Photos are automatically resized and thumbnails appear directly in the report row.
To remove a photo, tap the thumbnail and confirm deletion. Each row supports a maximum of 3 photos.
For effective documentation, take at least one photo showing the product in context (e.g., the pallet or shelf) and one close-up photo of the defect. Including the label with the lot or expiration date in the photo makes the report even clearer.
Report States
A report can be in one of these states:
| State | Meaning | Available Actions |
|---|---|---|
| Draft | Report being filled in, not yet finalized | Edit, delete |
| Completed | Report finalized, ready for PDF and synchronization | Generate PDF, sync to Odoo, reopen for editing |
| Uploaded | Report sent to Odoo, read-only | Open in Odoo, view PDF, history |
A report in Uploaded status cannot be modified from the app. Any subsequent corrections should be made directly on the alert in Odoo via the Quality Alerts section.
Generate PDF
When a report is in Completed status, you can generate the formal PDF document. The PDF is created entirely on the device, without internet connection, and includes all report data in a professional format ready to be sent to the supplier or archived.
PDF Content
- Header with "Non-Conformity Report" title, progressive number and date
- Name and data of the supplier selected in the report
- Invoice or delivery note reference highlighted
- Table with all anomaly rows: product, quantity, lot, expiration, defect description
- Photos from each row, embedded directly in the document
- Document footer
Share and Open PDF
After generation, you can open the PDF with the device's default viewer or share it directly via any installed app: email, WhatsApp, Google Drive, Telegram and so on. The file is saved in the app's memory with a name that includes the supplier, reference and date.
Completed reports remain accessible from History: tap the PDF button next to a report to open or reshare it at any time.
Odoo Quality Alerts
When the Quality module is installed on your Odoo instance, SiltaFlow automatically detects it and unlocks the Quality Alerts section: a complete mobile view of quality alerts present in Odoo, with advanced filters and the ability to interact directly with records.
The Quality Alerts section and synchronization to Odoo require the Quality module installed and active on the connected Odoo instance (version 14 or later). If the module is not installed, the section is not available and reports remain in local PDF format.
Available Filters
You can filter the alert list in three ways, which can be combined:
- By Team — Shows only alerts assigned to a specific quality team. Useful in environments with multiple departments or teams.
- By Stage — Filters by pipeline stage (e.g., New, Under Analysis, Corrective Action, Resolved, Closed).
- By Priority — Shows only alerts with a certain priority: Normal, Low, High, Very High. Each level has a distinct color for immediate recognition.
What Each Alert Shows in the List
- Unique alert code (e.g., QA/2024/00042)
- Title and brief description of the problem
- Current stage in the pipeline
- Colored badge with priority
- Product involved
- Associated supplier or customer
- Creation date or due date
Managing an Alert in Detail
Tap an alert to open its complete details. From here you can act directly on Odoo without opening the browser:
- Change Priority — Tap the priority badge and select the new level. The change is saved immediately on Odoo.
- Move in Pipeline — Tap the current stage and choose the new stage. The alert advances instantly in the Odoo pipeline.
- Corrective Action — Edit the text field directly with the measures taken. Content is saved on Odoo.
- Add a Note — Write an update or comment. The note is published in the alert's communication history on Odoo and becomes visible to all authorized users.
- Attachments — View files attached to the alert, download them to the device or share them via installed apps.
Synchronize to Odoo
When a report is in Completed status, you can send it to Odoo with a single tap. Synchronization happens in three sequential steps, each with a progress indicator.
| Step | What Happens |
|---|---|
| 1 — Create the Alert | A new quality alert is created on Odoo with all report data: supplier, product, reason, default team and priority. |
| 2 — Upload Photos | Photos from all rows are uploaded as alert attachments on Odoo (only if the option is active in settings). |
| 3 — Upload PDF | The report PDF is attached to the alert as the main document (only if the option is active). When finished, the "Open in Odoo" link appears. |
If the connection is interrupted during synchronization, you can resume from where it stopped without duplicating the record already created on Odoo.
After synchronization, always tap "Open in Odoo" to verify that the alert was created correctly with all photos and PDF attached. It is easier to fix any problems right away.
History
The History collects all reports created on the app, ordered from newest to oldest. From here you can filter by status, reopen drafts, view PDFs and manage the archive.
History is visible in the dashboard only when integration with the Odoo Quality module is not active. With integration active, alert management happens directly from the Quality Alerts section.
Each entry in the history shows the supplier name, document reference, date and PDF file name (if already generated). Available actions depend on the report status:
- Draft or Completed reports can be reopened in the editor to continue or modify the filling in
- Uploaded reports are read-only: you can open the PDF and view the link to the Odoo alert
- To delete a report, use the delete button and confirm in the dialog. Deletion removes the report and PDF from the device, but does not affect any alert already created on Odoo
Settings
In the Anomaly Manager settings you can configure Odoo integration and the default values used during synchronization.
Integration with Quality Module
Enable the "Odoo Quality Integration" toggle to enable alert synchronization and the Quality Alerts section in the dashboard. The app automatically verifies the presence of the module on the configured Odoo instance.
Default Values for Synchronization
- Default Quality Team — The team to which alerts created via the app are assigned. Select it from the list of teams present in Odoo.
- Default Reason — The reason for alert opening used by default (e.g., "Supplier Non-Conformity").
- Default Priority — The priority automatically assigned to new synchronized alerts.
Attachment Options
- Sync Photos — If active, photos attached to report rows are uploaded as alert attachments on Odoo. Active by default.
- Sync PDF — If active, the report PDF is attached to the alert as the main document. Active by default.
- Odoo Documents Folder — The folder where to archive PDFs on Odoo Documents. Tap "Browse" to navigate the folder structure.
